How to Create & Manage Ring Back Tones

If you have a Ringback Tones tab showing under the Options tab, then you can create your own custom ringback tone that will be played to anyone calling your phone. Instead of the usual ring that they normally hear while waiting for you to answer, they will hear your recorded music, or voice or whatever you want to record. Your service provider will notify you of how many ringback tones you are allowed to assign to your phone and how long (in seconds) the recording can be.

NOTE: If your phone is a member of a Queue or Hunt Group, a custom ringback tone will not be
played to incoming callers.

Creating a Custom Ringback Tone

  1. Click on Options > Ringback Tones.
  2. Enter a Name to identify the ringback tone.
  3. For Tone Source, do one of the following:
  • Select Record the Tone through the phone and click Save. Your IP phone will automatically go off-hook and you may pick up the handset and begin recording.
  • Select Upload Tone and then browse your PC for .WAV files to upload.

NOTE: The file MUST be a .wav file to be accepted.

Using the Ringback Tone

Once you’ve recorded or uploaded your .WAV files, you are ready to actually put them to use. This is done under the Call Management > Call Treatment tab. You can add a new call treatment and select Ringback Tone as your desired Action.

  1. Click on Call Management > Call Treatment.
  2. Click Add to add a new call treatment.
  3. Enter the Name of the caller.
  4. Enter the Incoming Number that you wish to screen.
  5. From the Time of Day Action or Default Action drop-down list, select Ringback Tone.
  6. Select the times of the day and week that you want the tone to play.
  7. Click Save to save the settings.

Tips on Creating WAV Files

  • You can use widely available software called Goldwave (http://www.goldwave.com/) to create files and get creative.
  • If you have a microphone on your PC, you can use the Windows Sound Recorder found under All Programs > Accessories > Entertainment. You’ll want to do the following to make sure you are creating files properly:
  • Once you have created the sound file, select SAVE AS and then notice the “Format:” at the bottom of the dialog.
  • If necessary, click Change to change it to 8.000 kHz:
  • Lastly, you can leave yourself a voicemail message with the ringback tone you want. Then open your Web Portal and play the voice
    mail on your PC. It will open the VML Player and after playing, it will have a “save” option. You can save it to your PC and then upload it using the Web Portal Options > Ringback Tones tab. The VML Player shows the length of the message, so this might be helpful for making sure your recording is not too long.
