Using Voice Assistant to Control Ad-Hoc Conferences: Starting a Conference, & Adding and Removing Users

For users that have the Web Portal feature enabled, you can use the Voice Assitant (a standard component of the Web Portal) to control many different aspects of a call.  Please note that although Web Portal works on all platforms, Voice Assistant only works on Windows XP/Vista/7 and Internet Explorer 6.0+.

To control different aspects of an ad-hoc conference call (i.e. conference calls started using the Conf softkey on the phone), please review the below instructions.

  • Log into Web Portal and click on the Voice Assistant icon highlighted below.  Generally this application would be openned at the beginning of the work day and kept open for the remainder of the day.  The first time you open Voice Assistant you may be prompted to install it.

  • When you are on a call, you have various options which include 'Start a conference...'.  You can choose to start the conference call using the button highlighted in the Voice Assistant below, or simply use the Conf softkey on your phone to start the conference.

  • Choose the number to conference, and click OK

  • Once the called party's line is connected, click on Complete Conference to join the calls together.

  • At this point, you have multiple conference related options shown below.  You can repeat the above steps to join up to 5 users in an ah-hoc conference call.  To remove specific users from a conference call, click on Show Conference list.

  • Highlight the number of the user whom you want to remove from the conference call and click Remove
